Studio SystemsEvery new client at Stars Media used to arrive through a pile of scattered emails: briefs in one thread, reference images in another, deadlines buried somewhere in the middle. The onboarding portal was built to fix that. It is a single place where a client lands after the first call, sees their project timeline, uploads reference material, and leaves notes that the whole crew can actually find. No more guessing which version of the moodboard is current, no more asking for the same file twice. The portal runs on a simple structure: a project overview, a file drop zone, a comment thread per deliverable, and a clear list of next steps. It does not replace the creative work, it just removes the friction around it. For a small studio juggling three or four productions at once, that clarity saves hours every week. The design follows the same visual language as the rest of the studio: neutral gray backgrounds, mustard accents, and generous white space, so the interface feels calm even when a deadline is tight. Clients who have used it say the biggest change is simply knowing where things stand without having to ask. That alone made the portal worth building.
The first version went live in early 2024 and has been refined through real use on fashion lookbooks, music video shoots, and brand identity projects. Each project type has its own template, so a video client sees storyboard uploads and shot lists, while a branding client sees palette references and type samples. The portal is not a product we sell, it is an internal tool that shapes how we work.
